About the position (Manage – Belgium)

The BIORIUS Group is looking for a star Administrative Assistant with outstanding administrative and communication skills to join our HR & Administration Department and undertake a variety of duties.

The role requires the Administrative Assistant to be a conceptual thinker with strong organizational and time management skills. The ideal candidate will be reliable and punctual with the ability to multitask and acclimatize in a fast-paced environment.

The ideal candidate should be able to display strong decision-making skills with an in-depth understanding of employee relationships, effective administration practices with proven admin or office assistant experience. Top candidates will be experts at problem-solving.

Administrative Assistant Role & Responsibilities:

In collaboration with the Administration Officer:

– Assist with day-to-day Administrative operations.
– Prepare and monitor quotations, orders, and invoices as needed.
– Develop and maintain effective filing systems.
– Coordinate repairs to office equipment.
– Support internal and external administration related inquiries or requests.
– Answer incoming calls; take messages and re-direct calls as required.
– Arrange appointments, booking meeting rooms and conference facilities, and booking travel & accommodation when necessary.
– General ad hoc duties (ordering office supplies, maintaining contact lists, handling the fleet of company cars, …)
– Arrange both internal and external events.
– Maintain the company social media accounts.
– Keep up to date with the latest office trends and best practices.

The ideal candidate:

– Bachelor’s degree in a related field (preferred but not essential).
– 3+ years proven experience as an Administration Assistant, Personal Assistant or Office Assistant (required).
– Excellent time management and organizational skills and ability to multi-task.
– Full understanding of Administration functions and best practices.
– Excellent written and verbal communication skills. Ability to work in both French & English. Any other language is considered a bonus.
– Highly computer literate with capability in email, MS Office and related business and communication tools.
– Strong decision-making and problem-solving skills.
– Meticulous attention to detail.
– Ability to accurately follow instructions & work autonomously.
– Ability to handle sensitive information in a confidential manner.
– Friendly, approachable, and open-minded.
